Terms and Conditions
All references to “Stone Circle Ltd”, refer to Stone Circle Products, Stone Circle Events, Stone Circle Services and Stone Circle Staff or Volunteers.
Reference to the Stone Circle Ltd “Client” refers to the End-Consumers / Participants.
Stone Circle Ltd “Events” refer to the following:
Stone Circle Weekender “Jester”, “Rebel” or “Bastard” routes
Friday Night Hill Climb Entry
All pre and post organised group rides
Any organised activities (such as walks, hikes, runs, yoga) within or alongside the “Events”, including those by partners
Stone Circle Ltd “Rides” refer to supported group rides planned in the build up to the Event.
- Period of sale:
1.1. Event entries are on sale from Event launch until the quota of entries and extra-services packages for sale are reached.
1.2. Stone Circle Ltd reserves the right to organise a waiting list in order to propose entries / extra-services packages in case of Client cancellation.
1.3. Entries are sold on a first come, first served basis.
- Event Entry
2.1. To place an order the Client must be 18 years of age on or before the start date of the Event.
2.2. Client may place an Event order by: Logging on to the Stone Circle website and purchasing an Event product via the integrated Eventrac registration platform.
2.3. Stone Circle Ltd will accept on request group bookings paid via invoice. Invoices will need to be paid in full for the order to be complete and the Client to take part in the Event. All Clients will need to register via Eventrac.
2.4. By placing an order the Client accepts these terms and conditions.
2.5. Whilst Stone Circle Ltd will make every effort to supply the Client with the Products listed on the Stone Circle Ltd website, there may be occasions where Stone Circle Ltd is unable to supply these Products. In such circumstances, Stone Circle Ltd will contact the Client to inform him/her and may suggest alternative Products that the Client might wish to purchase.
- Payment
3.1. Stone Circle Ltd trades in GBP and products must be paid for in Sterling.
3.2. All Event balances must be paid in full before the Clients can participate in the event.
- Registration Conditions
Stone Circle Ltd have specific Client Participation conditions listed. By entering the Event the Client agrees to the listed Rules and Regulations in section 6.
- Client Cancellation
Clients can buy cancellation insurance via Eventrac at the point of purchase. Event entries and extra-services / upgrades are only transferable in the following circumstances:
5.1. Substitution: If for any reason a Client is unable to attend he/she is able to nominate a substitute for the entry. Substitutions are available up to 30 days prior to the Event start date. All extra-services / upgrades purchased as part of the entry must be transferred to the new Client. No partial refunds will be issued for transferred entries, extra-services / upgrades. All refunds to be managed via event registration platform Eventrac. Substitution can only happen once per entry.
5.2. Credit: The client is able to request a credit up to 30 days before the start date of the registered Event. The entry fee including any extra services and upgrades, can be credited towards another Event. All deferrals requests must be emailed to info@stonecircle.cc by the Client. The Client will need to pay for any balance against the full entry price of the new Event. Stone Circle Ltd will not refund any balances if the new Event costs are less than the original Event.
- Client Participation
6.1. Each Client must be self-supported. Stone Circle Ltd are not responsible for Client preparedness for riding the course who are encouraged to carry the minimum required equipment for the selected route.
6.2. Clients responsible to ensure their bicycle and equipment areequipmentare in a serviceable condition to complete the event. A standard road bike is NOT suitable.
6.3. Each Client agrees at point of registration that they are physically and mentally capable of riding the distance selected. If, during the event, the Client decides to change their route and distance, all consequences are the Clients.
6.4. If the situation arises that the Client is not capable of making the decision to call the emergency services following an accident, a member of Stone Circle Ltd, or of the public may call for them.
6.5. Client must conduct themselves in a manner that does not discredit themselves or Stone Circle Ltd.
6.6. Clients to be considerate of other users of bridleways, tracks, byways and public way and respect the countryside and communities who live there. Stopping for a comfort break to be discrete and appropriate and not cause offence to local residents or other Clients.
6.7. Client to wear cycling helmet complying with latest EN1078, ANSI Z90/4 or SNELL standards. Any Client found not conforming with this term will not be allowed to start or will be removed from the Event if started.
6.8. There are sections of public road included. Clients must obey all Highway Code rules.
6.9 During the event there will be warning signs at appropriate points. Absence of these signs does not mean there are no dangers approaching. It’s the Client’s responsibility to make a decision regarding whether to ride a section or not. The route will have been recently recced, however the marking of the route does not necessarily indicate that the route is rideable and the Clients must make their own decision about whether to continue.
6.109.1. Clients must not to drop or leave any litter on any part of the route and to dispose of it responsibly at an appropriate place or bin. Any rider found littering will be disqualified from the event.
6.119.2. Each Client grants Stone Circle Ltd an exclusive, absolute and irrevocable worldwide assignment in perpetuity in the photographs/film/video/electronic representations and/or sound recordings of the Clients obtained at the event and grants to Stone Circle Ltd the right to use and publish such content in any and all media. The Clients hereby releases Stone Circle Ltd from any and all liability from such use and promotion. The Clients hereby authorises the reproduction, sale, copyright, exhibit, broadcast, electronic storage and/or distribution of said photographs/film/video tapes/electronic representations and/or sound recordings without limitation at the discretion of Stone Circle Ltd. The Clients specifically waives any right to any compensation they may have for appearing in any of the photographs/film/video/electronic representations and/or sound recordings of the Clients at a Stone Circle Ltd event.
In the event that a Client fails to complete the course for any reason they agree to return to or call the event centre before the close of the event and report to a member of staff. Not doing so will mean that a search may be organised and the subsequent cost will be billed to the rider.
- Insurance
7.1. Stone Circle Ltd cannot take responsibility, liability and event insurance for loss or damage of personal possessions during the event.
7.2. Stone Circle Ltd advises each Client to book bike and personal insurance for loss, injury or damage that he/she might sustain arising from participation in the Event.
7.3. Stone Circle Ltd recommends Client select the Eventrac cancellation insurance packages at point of booking.
7.4. If a Client takes advantage of the Bike Park option they do so understanding that whilst every care is taken when securing bikes, the risk and responsibility of adequate insurance in the case of theft is that of the Client.
- Stone Circle Ltd Cancellation
8.1. If Stone Circle Ltd cancels the Event for circumstances other than listed in Section 9. Force Majeure, Stone Circle Ltd shall return the full amount of any deposits and prepayments to the Client made according to the amount invoiced to the Client. No compensation will be given to the Client for other costs (direct or indirect) related to the Event entry (transportation fee, accommodation (if not booked with Stone Circle Ltd), family expenses (travel, hotels), except linked to a Friends & Family product offered by Stone Circle Ltd.
- Force Majeure
9.1 Stone Circle Ltd shall not be liable hereunder by reason of any failure or delay in the performance of its obligations on account of strikes, shortages, riots, insurrection, fires, flood, storm, pandemics, explosions, acts of God, war, governmental action, labour conditions, earthquakes or any other cause which is beyond the reasonable control of Stone Circle Ltd.
- Privacy, data and purpose of use

- Limitation of liability
In no event will Stone Circle Ltd be liable to Clients or Third Party under this Agreement for the cost of procuring substitute goods or services, lost profits, lost revenue, lost sales, loss of use, loss of data or any incidental, consequential, direct, indirect, punitive, or special damages, whether or not such party had advanced notice of the possibility of such losses or damages.
WAIVER
Clients hereby acknowledge that they take part in a Stone Circle Ltd Event and all functions and Events related thereto entirely at their own risk.
Clients hereby agree for themselves, their executors, administrators, heirs, next-of-kin, successors and assigns to waive release and discharge and shall neither have nor institute any claims whatsoever against Stone Circle Ltd and its directors, trustees and shareholders, local provincial and national governmental authorities, participating clubs, Event sponsors and other involved organisations (‘the Entities’) and their employees, agents or contractors to the fullest extent permissible under the Unfair Contract Terms Act 1977 or any other applicable law.
Clients hereby indemnify and hold harmless the Entities and their employees, agents or contractors from all liability and claims made by other individuals or entities as a result of any of the Client’s actions during the Event.
This waiver and indemnity covers death, disability, personal injury, damage to and loss of property of a Clients (including theft of or damage to a bicycle in areas under the control of the Entities and the Individuals) and is effective whether or not such death, injury, damage or loss may have been caused directly or indirectly or wholly or partly by any act or omission including negligence, of any of the Entities or their respective servants agents and contractors and will bind the heirs, executors and/or trustees of the estate of a Clients.
Persons signing this indemnity as the parent and/or guardian of a minor hereby agree to such minor being bound by the foregoing waiver and indemnity, and do hereby further indemnify and hold harmless the Entities against any and all liability and claims by such minor to the extent if any to which such minor is not capable of waiving his rights as stipulated above.
Should liability be found to exist in respect of any one of the Entities for any reason then that liability shall not exist in respect of the other Entities unless specific grounds exist for liability on the part of the other Entity or Entities.
